Finding a Better Way Forward

With roughly 350 student-athletes competing across 22 sports, D’Youville University’s athletics department has plenty to keep track of. For Bill Morris, Senior Associate Athletic Director for Compliance, that includes NCAA compliance as well as oversight of several sport programs.

With so much happening across the department, Bill wanted technology that made those responsibilities easier to manage, not something that added more time to his day.

Before Spry, some of our day-to-day processes had become more time consuming than they needed to be.

– Bill Morris

For Bill, finding the right solution meant looking for more than just a new platform. D’Youville wanted a system that was easy for staff and coaches to navigate, paired with responsive support when questions came up.

That search led D’Youville to a recommendation from schools they already knew and trusted. Other members of the East Coast Conference had experience with Spry and encouraged the department to take a look.

We were put on to Spry from other schools in our conference.

– Bill Morris

That peer recommendation gave D’Youville a reason to start the conversation. The experience that followed gave them a reason to stay.

A Transition That Was Easier Than Expected

Changing systems can be a project in itself, especially for an athletics department that has to keep operating throughout the process. Bill expected the move to Spry to take a significant amount of time.

Instead, the transition went much more smoothly than he anticipated.

The transition was easy and didn’t take nearly the time I thought it was going to. As soon as our IT department was involved, they were able to work together to make it a pretty seamless process. Spry representatives were there to help every step of the way.

– Bill Morris

Once D’Youville’s IT team got involved, the transition started to come together quickly. Spry worked directly with the team throughout the migration, helping them navigate the technical side of the move and answering questions as they came up. What Bill had expected to be a major undertaking turned out to be a relatively straightforward change for the department.

Support That Staff Can Count On

For Bill, one of the biggest differences has been what happens when someone has a question. Instead of waiting for an answer or trying to work around an issue, his staff can reach out and get help quickly.

There are not enough words to say how easy it is to ask a question and get a quick response.

– Bill Morris

And that support isn’t limited to the compliance office. Coaches across the department use the platform too, and Bill says Spry continues to be there when they need it.

Honestly, Spry comes through for us every day. They continue to support me and all our coaches.

– Bill Morris

The combination of a straightforward platform and responsive support has made it easier for staff members with different levels of technical experience to use Spry in their day-to-day work.

The Relationship Behind the Software

For D’Youville, the experience with Spry has ultimately been about more than switching platforms. After seeing customer service decline with its previous system, the department wanted a partner that would continue to listen and respond.

Bill says that’s exactly what his team has found.

I recommend Spry every chance I get because the customer service is outstanding and they truly listen when recommendations are made.

– Bill Morris

That willingness to listen matters because the relationship doesn’t stop after the transition. When D’Youville has feedback or a suggestion, Bill says Spry takes the time to hear it.

For Bill, that ongoing support is what has made Spry feel like more than a software vendor.

They are an extension of our staff and with us every step of the way. I am grateful we work together.

– Bill Morris

Two years into the relationship, D’Youville has moved past the initial transition and into what matters most: using the platform every day. The department can get its questions answered, coaches can get the support they need, and the staff has a system that doesn’t add unnecessary work to an already busy schedule.

D’Youville first heard about Spry from other schools in the ECC. Today, Bill is happy to pass that recommendation along himself.

  • Replaced scattered paper files and spreadsheets with one centralized platform
  • Gave coaches direct access to important roster and eligibility information
  • Built customizable workflows around Grayson’s specific departmental needs
  • Expanded adoption across the coaching staff, including those with decades of experience
  • Established a consistent system for administrators, coaches, and student-athletes

Introduction

At Grayson College, a small athletics department means wearing more than one hat.

The two-year college supports four sports and between 80 and 100 student-athletes each year, with rosters that include local Texas talent, Division I and Division II transfers, and international student-athletes.

For Compliance Officer Albert Monge, supporting the athletic department extends well beyond compliance. He manages eligibility and academics along with much of the department’s day-to-day administrative work, while also serving as a consistent resource for student-athletes navigating their college experience.

Having gone through the junior college experience himself before transferring to a four-year institution, Albert understands how important that support can be. He wanted student-athletes to know they had someone they could turn to with questions, and coaches to have a consistent place to find the information they needed. But creating that kind of environment required a more organized foundation behind the scenes.

The Challenge: Bringing Disconnected Processes Together

Before Albert took over compliance, many of the department’s administrative responsibilities were distributed among individual head coaches. Each program managed its own documentation, transfer follow-up, eligibility requirements, and other responsibilities, with much of that information living in paper files.

As Albert began bringing those responsibilities and documents together, he moved more of the department’s tracking into digital formats. But without a centralized system, staying organized meant managing different spreadsheets for different needs.

When I first started, everything I did was a different spreadsheet, and I had to track so many different things that I couldn’t keep them all in one place.

– Albert Monge

For one administrator overseeing compliance, eligibility, academics, and much of the department’s day-to-day administrative work, those disconnected processes added up quickly.

Albert needed a more centralized approach, one that could bring important information together, give coaches greater access to what they needed, and provide the flexibility to fit the way Grayson actually operates. That need ultimately led Grayson to Spry.

More Support Than Expected

As Grayson began transitioning its processes into Spry, Albert was not only introducing a new platform to the department. He was also navigating his first experience managing compliance from the administrator’s side. What stood out from the beginning was the level of support that came with the transition.

I was not expecting it to be as supportive as it has been. I was blown away by the consistency. Anytime I had a question, I could get an answer quickly or know that someone was working to find one for me.

– Albert Monge

Spry worked closely with Albert to help him understand the platform, explore how its different capabilities could apply to Grayson, and build the knowledge he needed to bring the rest of the department along with him.

That support helped Albert become an internal resource for his coaches, giving him the confidence to introduce new workflows, answer questions, and show each program how Spry could fit into what they were already doing.

I was put in a position where I could tell everyone all of the features and everything that we could do in the software that could benefit us. The only reason that happened was because the Spry team was so willing to help me.

– Albert Monge

And as Albert began introducing Spry across the department, one of the clearest signs of success came from a coach he initially thought might be more hesitant to make the transition.

Making Technology Work for Coaches

Grayson’s women’s basketball head coach has been coaching for 25 years. With decades of experience and established processes already in place, Albert initially expected him to be one of the coaches who might take longer to embrace a new platform.

Instead of asking him to completely change the way he worked, Albert started by understanding what he was already doing and showing him how Spry could bring those responsibilities together. The response surprised him.

When I explained to him what this platform could do for his program based on what he was already doing, he immediately jumped in. Now everything he does flows from Spry — their schedule, their communication, their class schedules are all in there.

– Albert Monge

What once required a combination of spreadsheets, printed calendars, and different communication methods now lives in one place.

For Albert, the experience reinforced the value of meeting coaches where they are. Rather than asking them to reinvent their routines, Spry gives coaches a more connected way to manage the work they are already doing, making adoption feel like a natural extension of their day-to-day.

One Source of Information for the Entire Department

As coaches became more comfortable using Spry, the benefits extended beyond individual programs. Information that once lived across paper files and separate spreadsheets could now be housed in one centralized platform, giving both Albert and Grayson’s coaches greater access to what they needed.

That accessibility is particularly valuable at the two-year level, where coaches are constantly managing movement in both directions, recruiting student-athletes into their programs while helping others move on to their next opportunity.

That’s the thing I’m most grateful for — being able to manage our rosters and put all of the important information in Spry, not just for me, but for our coaches too.

– Albert Monge

Instead of relying on Albert every time they need roster or eligibility information, coaches can now find many of those answers themselves.

For Albert, that means fewer routine requests coming through one person. For coaches, it means quicker access to the information they need. More importantly, it supports the kind of department Albert set out to build: one where important information is not isolated in a single office but accessible to the people who rely on it.

A Platform That Fits Grayson

Centralizing information was important, but Albert also needed a system flexible enough to reflect the way Grayson operates.

As a two-year college, the department has its own workflows, requirements, and responsibilities to its national governing board. Rather than adapting Grayson’s processes around a rigid system, Albert can customize Spry around what the department actually needs.

The ability for me to adjust things in Spry to fit what we need versus what someone else needs — that’s been a huge benefit.

– Albert Monge

That flexibility has helped make required compliance preparation easier while giving Albert the ability to continue refining workflows as the department’s needs change. Instead of simply moving existing processes online, Grayson can build workflows around how its administrators and coaches actually work.

A Partnership Built on Listening

For Albert, the value of Spry extends beyond the technology itself.

Throughout Grayson’s first year with the platform, the relationship has been defined by open communication, whether Albert needs help working through an existing process or has an idea for something Spry could do differently. Even when the answer is not immediately available, the conversation does not simply stop.

Instead of just shutting it down and saying, “Well, this is not something we offer,” it’s, “Okay, let me talk to someone and see what the possibilities are.” I think that’s huge for me.

– Albert Monge

Albert has also had opportunities to share his perspective on where the platform could continue evolving, drawing on his experience both as an administrator and former college coach. That willingness to listen has made Albert feel like an active part of the conversation rather than simply a user of the platform. For someone who places a high value on relationships and open communication, that has become just as meaningful as the technology itself.

Results and Looking Ahead

In its first year with Spry, Grayson has built a more connected foundation for how its athletics department operates.

Information that once lived across paper files and separate spreadsheets is now centralized in one place. Coaches have greater access to the information they need, compliance processes are easier to manage, and workflows can be adapted around Grayson’s specific requirements.

Just as importantly, Spry has become a platform the department can continue building on. As new needs arise, Albert can refine existing workflows, explore new ways to use the platform, and work alongside the Spry team to find solutions that make sense for Grayson.

For a small department where one person carries many responsibilities, that ability to adapt matters. Spry gives Albert the structure to manage what is in front of him today, while creating room for the department to continue improving how it supports coaches and student-athletes moving forward.

And for Albert, the experience so far has reinforced that Grayson has both a platform and a partner it can continue growing with.

  • Full adoption across the coaching staff
  • Spry education and Slate integration planned as the next phase

Introduction

At Molloy University, a growing athletics program is supported by a small, dedicated team responsible for keeping 19 sports moving forward. Every practice, recruiting visit, and competition depends on work happening behind the scenes. From compliance forms and roster management to recruiting and CARA (Countable Athletic Related Activities), those responsibilities touch nearly every corner of the department. With only 13 full-time administrators, finding more efficient ways to manage this work became increasingly important.

Michael Grasso understood that better than most. Before becoming Molloy’s Director of Athletics in 2026, he spent 17 years as the athletic department’s Senior Associate Athletic Director for Compliance. He knew where daily processes created unnecessary work, and he understood how quickly small inefficiencies could add up across an entire department.

Now in its second year with Spry, Molloy has brought compliance forms, CARA, recruiting, and roster management into one connected platform. The shift has reduced paperwork, created visibility for coaches, and given staff more confidence in the systems supporting their work.

The Challenge: Protecting the Department’s Time

Before Spry, many of Molloy’s daily processes relied on a limited compliance platform and writable PDF forms. Sharing, completing, reviewing, and tracking those documents required more time than the work itself should have taken. No single task created a major problem on its own. But repeated across compliance, recruiting, rosters, and 19 athletic programs, those manual steps became a steady source of administrative work for both coaches and staff.

For Grasso, however, choosing a new platform was only part of the challenge. His biggest concern was making sure the coaching staff would embrace it.

Introducing new technology at the beginning of an academic year can be difficult, especially for coaches already balancing recruiting, practices, travel, and student-athlete support. Molloy needed more than a platform with stronger functionality. It needed an onboarding experience that would make the transition feel manageable for everyone.

A Transition That Built Confidence

Molloy began its transition to Spry in Fall 2024, and the experience was much smoother than Grasso anticipated.

From the first training sessions, Spry’s onboarding and support gave coaches the guidance they needed to begin using the platform confidently. Rather than facing resistance, the department moved through its first year with strong adoption across the staff.

The transition was seamless. I was concerned that my coaching staff would be resistant to learning a new system, but the onboarding and support was top notch and made the transition quite easy in the first year.

– Michael Grasso

What Grasso expected to be the most difficult part of the transition quickly became one of its easiest. That early success built trust in the platform and set the tone for how the department would continue using it.

One Platform for Work That Happens Every Day

Two years into the partnership, Spry sits at the center of many of Molloy’s daily operations.

Compliance forms, CARA logging, recruiting, and roster management now live within one connected system. Instead of moving between separate documents and disconnected workflows, coaches and administrators can complete more of their work in one place.

Among those changes, beginning-of-year compliance forms have made one of the clearest differences. A process that once relied heavily on writable PDFs is now easier to distribute, complete, and monitor. Automatic reminders also follow up with student-athletes, removing a recurring task from the compliance staff’s workload.

For beginning-of-year compliance forms, the process could not be simpler now, and having automatic reminders sent to student-athletes has been a time saver for sure.

– Michael Grasso

The time savings extends beyond compliance. Staff spend less time checking CARA submissions, while coaches spend less time managing paperwork connected to recruiting, roster management, and CARA.

For a department supported by 13 full-time administrators, those reclaimed hours matter. They mean less time tracking paperwork and more time supporting coaches, programs, and student-athletes.

Designed for Every Coach

One question followed Molloy throughout the transition: Would every coach truly use the platform? The answer became clear through one of the department’s favorite adoption stories.

One coach required a little more time than the rest of the staff to become comfortable with the platform. Once he did, he became one of Spry’s most active users and earned a new nickname within the department.

I have one coach who I was most concerned about that has now become known as our ‘Spry Savant,’ as he is our most active coach and utilizes the system to its full potential.

– Michael Grasso

The turnaround reflected what Michael was seeing across the department. When a platform is approachable and coaches receive the right support, adoption follows. Today, every coach across the department uses Spry with confidence, demonstrating just how approachable the platform has become.

Support That Keeps the Department Moving

The people behind the platform have played a major role in Molloy’s continued confidence in Spry.

When Michael reaches out with a question or an idea, the team responds quickly. In many cases, they do more than answer the immediate request, they suggest a different approach that may work even better for the department.

Their customer service is top notch. If you’re thinking about something you want to implement or need help with something already in place, they are readily available and quick to help or suggest another idea that works even better.

– Michael Grasso

That responsiveness does more than resolve support requests. It gives Molloy the confidence to continue building on the platform, knowing guidance is available whenever the department needs it.

A Partnership from the First Conversation

For Michael, the relationship with Spry felt different before Molloy ever began using the platform.

The initial conversations were personal and intentional, focused on understanding the department rather than moving quickly through a sales process. That same approach carried into implementation, onboarding, and every interaction that followed.

Really from the start, the initial Zoom meetings felt very personal and intentional. It never felt like a sales pitch, and that carried straight over into the onboarding and every interaction we continue to have.

– Michael Grasso

The same experience has continued through Michael’s partnership with his dedicated Customer Success Manager and the broader Spry team. For a department built on relationships, having a partner that listens, responds, and helps identify better ways forward has become just as valuable as the platform itself. That trust is also what has made Molloy comfortable continuing to expand how it uses Spry.

Results and What Comes Next

As Molloy’s partnership with Spry has evolved, their daily operations look noticeably different.

Compliance forms, CARA, recruiting, and roster management now move through one connected platform. Writable PDF workflows have largely been left behind, automatic reminders have reduced manual follow-up, and both coaches and compliance staff have regained time across their daily responsibilities.

Adoption may be the clearest sign of success. Michael entered the transition concerned about how coaches would respond to a new system. Today, the entire staff uses Spry, and the coach he once worried about most has become its most enthusiastic user.

Even with that progress, Michael sees Molloy as being early in the partnership. The department plans to add Spry’s education component and the Spry/Slate integration, bringing more of its academic and admissions-related work into the same connected environment.

I feel like we are still in the early phases and Spry can do a lot more for us. We have just started to scratch the surface and are excited about what’s next.

– Michael Grasso

For a program continuing to grow, that momentum may be the most meaningful result. The first year gave Molloy confidence that the platform could work across the department. The next phase is about building on that foundation and making Spry an even more central part of how Molloy Athletics operates.
