Operational Efficiency D1
Andrew Hoffman

Andrew Hoffman

/ Associate AD of Compliance and Academics

Houston Christian University

Division I FCS football program 17 Programs ~375 Active Student-Athletes (~450 Annually) 10-Person Admin Staff with a Compliance Team of 2 to 4 Spry Partner Since 2023

Results

  • Replaced weekly paper CARA logs and manual athlete signatures with digital tracking
  • Gained clearer visibility into outstanding forms, recruiting activity, and compliance tasks
  • Created a more efficient beginning-of-year forms process
  • Built adaptable workflows that can evolve alongside coaches and department needs

Introduction

At Houston Christian University (HCU), running a Division I athletics department is a team effort. With 15 sports, roughly 375 active student-athletes at any given time, and a lean administrative staff, there is little room for unnecessary manual work. Add in the movement created by the transfer portal, and closer to 450 student-athletes may pass through the department over the course of a year. For Andrew Hoffman, Associate AD of Compliance and Academics, that makes collaboration essential.

HCU’s compliance operation is supported by a team of just a few people managing everything from scholarships and eligibility to academics and day-to-day compliance responsibilities. As Hoffman puts it, it takes a “small village” to keep everything moving. When he first arrived at HCU, however, much of that work was still happening on paper.

The Challenge: When Compliance Meant Paper, Binders, and Manual Follow-Up

CARA logs. Recruiting activity. Official visits. Expense reports. Student-athlete forms. Nearly every workflow involved a physical document that had to be completed, collected, reviewed, and stored.

One process in particular captures what that looked like. Each week, coaches submitted paper CARA logs documenting their hours and off days. They were then responsible for collecting signatures from a portion of their student-athletes to verify that the information was accurate. Hoffman still has one of those old binders sitting in his office.

I still have a binder from three years ago full of CARA logs. Every week our coaches would submit a piece of paper with their hours and their off day, and they were responsible for getting about 30% of their kids to sign off that it was accurate.

– Andrew Hoffman

The process worked, but it required significant time from coaches, student-athletes, and administrators, and made it harder for the compliance team to quickly understand what had been completed and what still needed attention. When HCU’s previous software provider went out of business, Hoffman and his team saw an opportunity to rethink the process. Their goal was straightforward: move essential workflows online and create a more manageable foundation for the department.

Starting With What Mattered Most

Rather than trying to transition every process at once, HCU worked with Spry to identify the workflows the department needed most and build a strong foundation from there.

Spry helped us get everything up and running very quickly. We focused first on the things that were absolutely necessary — making sure our CARA calendars, CARA logs, and beginning-of-year student-athlete forms were ready to go.

– Andrew Hoffman

With those essential workflows in place, HCU could manage its summer responsibilities through Spry instead of relying on paper processes and hundreds of individual emails. From there, the department continued building, adding new workflows to the platform as its needs evolved.

From Paper to Digital: Seeing Compliance at a Glance

For Hoffman, one of the biggest differences is visibility. When information lives on paper, identifying an incomplete task could mean reviewing individual documents, tracking down a coach, or piecing together activity across multiple places. Now, the compliance team can quickly see where things stand.

That alone has been a huge time saver because it’s easier for us to track. We can go in and see who has and hasn’t done what, and then send a friendly reminder directly on the platform.

– Andrew Hoffman

That visibility extends beyond CARA logs. For recruiting activity, forms, and other compliance responsibilities, Hoffman can identify gaps and follow up with the right person instead of spending time searching for the information first. For a small staff managing hundreds of student-athletes and dozens of coaches, those small efficiencies add up.

Building Workflows Around the People Using Them

No two athletic departments operate exactly the same way, and even within a department, coaches and staff may approach the same process differently. For HCU, that makes flexibility especially important. With regular staff and roster turnover, the compliance team needs workflows that can evolve alongside the people using them rather than forcing everyone into a rigid process.

Spry gives Hoffman and his team the ability to customize workflows around HCU’s needs, see how they work in practice, and make adjustments along the way.

Being able to adjust things on the fly has been really helpful. We can build a workflow, see how it works for our coaches, and make changes based on what actually makes sense for them.

– Andrew Hoffman

That adaptability allows HCU to create processes that work for administrators while remaining approachable for coaches, including those who may be less comfortable with technology. As the department’s needs change, Spry gives HCU the flexibility to adjust alongside them, bringing more workflows into the platform without forcing the department to change the way it operates.

A Partner, Not Just a Platform

For HCU, the value of Spry extends beyond the technology itself. As the department continues to refine its processes and bring more workflows into the platform, having a responsive partner to help turn those ideas into solutions has become an important part of the experience. When a new need arises, the HCU team can connect directly with Spry to talk through what they are trying to accomplish, work through the details, and determine the best way to build it within the platform.

When we have an idea like, “We want to transition this into Spry,” the team will jump on a call and walk through what we want to set up — what it could look like, what makes sense, and what we may want to change. We’re not sitting around emailing tech support and waiting for a response.

– Andrew Hoffman

For a lean athletic department, that level of support makes a difference. HCU does not have to navigate new processes alone. Instead, the department has a partner it can lean on as its needs evolve, helping the team continue improving the way it supports administrators, coaches, and student-athletes.

Results and Looking Ahead

Three years into its partnership with Spry, HCU’s story is not about one feature or one workflow. It is about what happens when dozens of small administrative processes become easier to manage. When Hoffman first arrived, the volume of work coming from hundreds of student-athletes and 60–70 staff members often left the compliance team deciding what needed immediate attention and what could wait. Today, there is greater visibility into that work, and more room to be proactive.

Spry has cleaned up a lot of our processes and lets us focus more time on trying to get ahead instead of just trying to keep up. That’s been great for us.

– Andrew Hoffman

HCU is still building. The department continues identifying paper processes that can move online and finding new ways to make existing workflows work better for administrators, coaches, and student-athletes. For lean athletic departments, that progress matters. The goal is not simply to digitize paperwork. It is to spend less time chasing it, and more time supporting the people the department is there to serve.

  • One centralized platform replacing fragmented compliance workflows
  • 100% digitized compliance forms through SprySign
  • Instant coach access to student-athlete eligibility status
  • Greater coach confidence and adoption across the department
  • A stronger compliance foundation for the NCAA membership journey

Introduction

At Regent University, approximately 250 student-athletes compete across a campus of roughly 2,500 students. The athletic department operates with a full-time staff of just 15 people, meaning every administrator is responsible for far more than a single job description. That is certainly true for Assistant Athletic Director and Senior Woman Administrator, Katie Reyes. She oversees budgets, facility and officials’ contracts, and large event planning, while also managing the coaching staff, compliance officer, and sports communications director.

When responsibilities span so many areas, inefficient processes become impossible to ignore. Two years ago, Regent partnered with Spry to bring greater organization to its compliance workflows and build a stronger operational foundation.

The Challenge: NCAA Compliance Split Between Paper and Spreadsheets

Before Spry, Regent managed compliance across two separate systems. Some records were managed on paper while others were stored electronically, making it difficult to keep information organized. For a department with a small staff, every extra step mattered. Time spent tracking paperwork or confirming eligibility was time that couldn’t be spent supporting coaches and student-athletes.

Workflows were very unorganized and mismanaged. Compliance management was split between paper and electronic, which made things confusing and increased room for error and mistakes.

– Katie Reyes

As Regent transitioned from the National Christian College Athletic Association (NCCAA) toward full NCAA membership, the department wanted a more organized, reliable approach to compliance. The goal was simple: bring everything together in one place.

The Solution: Centralized Compliance Management

Spry became that central hub. Today, Regent uses the platform to distribute NCAA compliance forms, track eligibility, manage rosters, and communicate with teams. Four workflows that used to run in different directions now go through one system.

One of the biggest improvements has been moving compliance forms into SprySign. What was once a paper-driven process is now completed electronically, making it easier for staff and student-athletes alike. Eligibility management has also become more efficient. Coaches can quickly check a student-athlete’s eligibility status in real time, giving them immediate access to the information they need without waiting on emails or phone calls.

Having everything stored in one place, especially for our coaches, has made things easier on all staff members, especially our compliance officer.

– Katie Reyes

Onboarding and Support: A Dedicated Spry Partner

Implementing a new platform always comes with a learning curve, and Regent’s experience was no different. For Katie, building forms in SprySign was initially the biggest adjustment. With guidance from her dedicated Spry contact, Rachel, the process quickly became more manageable.

There was a lot of constant support. Especially as an administrator, I felt that I could reach out to our Spry Contact, Rachel, at any time….and I still feel this way today.

– Katie Reyes

That relationship has continued well beyond onboarding. Whether it’s answering questions or helping troubleshoot new workflows, Spry’s support has remained a consistent resource for the department.

Daily Use: Software Coaches Adopt

The best compliance software is only valuable if people actually use it.

At Regent, coaches rely on Spry to check eligibility, access rosters, and communicate with their teams. As they’ve grown more familiar with the platform, they’ve become increasingly comfortable with navigating it on their own.

Very user-friendly. Especially for our less tech-savvy coaches, they are able to maneuver in Spry to access the necessary information. They’ve seemed to grow more confident with Spry as the months have passed by.

– Katie Reyes

For a department with coaches and administrators of varying technical experience, that confidence has been just as important as the technology itself.

More Partner Than Vendor

For Katie, one of the biggest differentiators has been the relationship with Spry. Rather than starting over with a new support representative each time a question comes up, Regent has worked with the same dedicated contact throughout the partnership. That continuity has made it easier to solve problems and build familiarity over time.

Working with the same individual at Spry to help troubleshoot our problems or to ask questions has always made Spry feel more like a partner than a vendor. It’s uncommon for companies to assign you to one specific person, but having that connection has made our experience extremely positive overall.

– Katie Reyes

Knowing exactly who to call, and knowing they already understand your department, takes away friction that most software relationships never deal with. That consistency has helped Spry feel less like a software provider and more like an extension of Regent’s athletic department.

Results: Streamlined Compliance Workflows

Two years into the partnership, Regent’s Athletic Department looks very different than it did before. Paper files and disconnected workflows have been replaced by a centralized software platform for compliance forms, eligibility, rosters, and communication. Coaches have direct access to the information they need, while the compliance office spends less time managing manual processes.

Just as importantly, the department has built a stronger operational foundation as it continues its NCAA membership journey.

If you’re looking to streamline your processes, have a better management system in place for compliance, and want your student-athletes to be better communicated with from their coach and/or department, Spry is the way to go!

– Katie Reyes

Looking Ahead: Building Toward Full NCAA Membership

For Regent, better compliance processes are about more than improving today’s workflows. They’re an important part of preparing for tomorrow. The university is currently working toward full NCAA membership, making organized, reliable compliance processes more important than ever.

We are in the process of becoming full-fledged NCAA members. Spry has provided the resource for us to be successful with our compliance processes, which is crucial in the NCAA application process.

– Katie Reyes

As the department continues that journey, Spry provides Regent with a foundation its administrators and coaches can rely on, helping the department stay focused on today’s responsibilities while preparing for what’s next.

  • Fast coach adoption with minimal training, thanks to an intuitive interface
  • Smooth migration supported by a dedicated account manager

Overview

Shorter University’s Athletic Department faced considerable challenges in managing compliance and communication effectively. With many compliance processes on paper, coordinating between coaches, administrators, and student-athletes was cumbersome and time-consuming. The manual process required in-person meetings and document handling, leading to inefficiencies and a higher risk of errors. Ava Sanders, Assistant Athletic Director for Compliance and Senior Woman Administrator, recognized the need for a streamlined, digital solution.

Challenge

The reliance on paper-based processes left Shorter University looking for alternative solutions. Coaches and athletes navigated a maze of forms with compliance documents scattered across physical files, which made keeping up with each requirement challenging. This outdated method impacted the department’s ability to stay efficient and slowed communication across teams.

Solution: Enter Spry

Spry helped address these issues by consolidating all compliance and communication needs into a single, user-friendly platform. Spry’s Paperwork feature, in particular, transformed operations, allowing coaches to submit required documents digitally and administrators to monitor compliance in real time. Spry’s efficiency extended to CARA logs, where digital submissions and automatic flagging of potential violations saved substantial time and effort.

Decision to Move to Spry

The move to Spry was motivated by the department’s desire for a centralized, efficient solution. After extensive research and consultation with other institutions, Spry stood out as the best fit for Shorter’s needs, offering a comprehensive platform to meet compliance requirements and simplify workflows across the department.

Customer Service & Migration

The migration to Spry was smooth and well-supported, thanks to exceptional customer service from Spry’s team. With dedicated support from their account manager, Matt, Shorter University’s staff felt well-guided through each stage of onboarding. Matt’s responsiveness and commitment to customer satisfaction ensured any issues were addressed immediately, making the transition seamless and reinforcing the department’s confidence in their choice.

Impact

Since implementing Spry, Shorter University has achieved a more efficient, organized, and compliant athletic department. The platform’s impact on the department’s workflow has been transformative, creating a healthier work atmosphere and ensuring documents are readily accessible, eliminating the need for paper-based processes. Sanders attests that Spry has been a game-changer for Shorter, saving time and streamlining compliance, ultimately making life easier for administrators, coaches, and student-athletes alike.
